Media Campaign allows you to send a Media Kit - which is an Album - to a selected User group with a campaign message.

Only users who have the value of ‘Yes’ in Receive update emails option will be included in the mailing list.

The Album must contain at least one item at the access level of the recipient group because they will only be able to browse and order items at their access level when logged in.


To send a Media Campaign email:

  1. Create an Album that contains the new items to be previewed.
  2. Navigate to the Media Campaign page via Administration > Media Campaign.
  3. Select the Album from the Album drop-down menu.
  4. Select a User Group from the User Group drop-down menu.
  5. Edit a campaign message in the Message to recipients: text box, using the available style tools if required, up to the character limit.
  6. Click ‘Send’
The message can be up to 500 standard characters (eg English language) or 200 double-byte characters (eg Chinese language)
Messages that exceed the character limit are not supported.

Editing the look and feel of the message

The campaign message that you enter at step 5 above is inserted into the Media Campaign email template.
The Media Campaign email template is editable at Administration > Email Templates > Select email template to modify > Media Campaign Existing Users

This is the standard email subject, which you can edit:

This is the standard email body, which you can edit:

Dear [:name:],

[:custom_msg:]

To access this album of free items please visit {library_title}.

You will need to enter your email address and password.

You can then browse and select items to download.

The custom message [:custom_msg:] block represents the text that you enter at step 5 above.

If you want less spacing above and below the custom message you can remove some line breaks like this:

Viewing by the recipient when logged in

  • Recipients who are logged into LookatmeDAM at the time of receiving the email can directly navigate to the album page via the link in the email.
  • Recipients who are not logged into LookatmeDAM at the time of receiving the email will be prompted to log in first when they click the link in the email.
  • Once a user is logged into the system, they can navigate to the album page by clicking the link again.


Access levels

The Media Campaign will always send an email displaying all thumbnails of all items in your Album to all users regardless of the access level of the items. Users are restricted to viewing and ordering items at or below their access level when they are logged in.

Example:

Your Album has four items: one item at Admin level, one item at Staff level, one item at Media level, one item at User level:

  • If you send a Media Campaign of the Album to the Admin group, the recipients will see four thumbnails in the email and all items will be available for download in LookatmeDAM

  • If you send a Media Campaign of the Album to the Staff group, the recipients will see four thumbnails in the email and only three items will be visible and available for download in LookatmeDAM

  • If you send a Media Campaign of the Album to the Media group, the recipients will see four thumbnails in the email and only two items will be visible and available for download in LookatmeDAM

  • If you send a Media Campaign of the Album to the User group, the recipients will see four thumbnails in the email and only one item will be visible and available for download in LookatmeDAM

Test emails and caching

If you have problems with caching on the Media Campaign  interface, going to the Home page and back to the Media Campaign is usually sufficient to reset the page.

Caching can cause the success message to appear to show an incorrect count.

Media Campaign emails and spam filters

You can be confident that the emails are being sent correctly. Some of your recipients may have spam filters that block the emails - this is beyond our control. Please see our article on Email Notifications.
